Get Your Free Professional Email Signature In No-Time! [2024]

Introduction

In this blog post, I’m going to help you create your professional email signature design. It is important to have a professional email signature because it makes you look more trustworthy and legitimate whenever you send your email messages. Your recipients feel more confident when they read your emails, they’re sure that the message is not sent by bot or some spam message. Especially when you include a profile picture and links to your social media platforms (facebook, instagram, youtube, etc.). Your identity is confirmed. I will walk you through step by step on how to create your own version of email signature and upload it to your Gmail/Outlook account so you can be 100% sure that you won’t run into any issues.

Come to the website gimm.io where we can generate a free professional email signature design. Click on ”email signature generator” and then ”New signature.” Now you can select from many different styles, choose your desired one and click on ”Apply.” Change your personal details by clicking on each section (First and Last Name, Position at Work, Office Number, Mobile Number, Address, website url, social media links, etc.) Delete current email signature picture and upload your own. You can upload your personal or business logo picture, depending on what kind of a signature you are looking to create. Once you’ve finished changing your details, click on ”Install Your Signature!” It is going to ask you to get your signature or to get html source code. Pick html source code because we will have to remove unnecessary text in our signature : ”Get your own signature.” Click on ”Click Here if you need the HTML source code (advanced). Copy html source code to your clipboard.

Now we need to format our html source code in order to be able to edit it in Visual Studio and remove ”Get your own signature.” Come to the website freeformatter.com and click on HTML Formatter / Beautifier. Paste (CTRL+V if you’re using Windows / Command+V if you’re using Mac) your copied html source code in the provided blank space and click on ”Format HTML.” Copy formatted html source code and paste it in your notepad. In your notepad, come to file – save as – and make sure to save it as HTML file. Just name it and type .html (e.g. EMAIL SIGNATURE.html) and click on ”Save.” Now right click on your saved Email Signature and open it with Visual Studio so we can remove ”Get your own signature.” In Visual Studio, press CTRL+F to search and search for ”Get your own signature.” You have found the section with ”Get your own signature.” Delete it as shown on the picture 2.9 – from <td to </td>. Then click on CTRL+S to save your changes. You’ve deleted unnecessary ”Get your own signature” text. Get out of the Visual Studio, right click on your Email Signature and open with your default browser – Chrome, Firefox, Safari, Opera, etc. I will use Chrome. Congrats, here is your new email signature! All we need to do now is to copy it and upload to our desired email account. I will show you how to do it in Gmail and Outlook. 

Upload Email Signature to Gmail/Outlook

Log in to your Gmail account, click on ”settings”, then ”see all settings”. Scroll down until you find signature section and click on ”Create new”, name your new signature (e.g. Email Signature) and click on ”Create.” Paste your new signature in the blank space provided. For signature defaults, select it ”For New Emails Use” and ”On Reply/Forward Use.” Scroll down and save your changes. Your new email signature is now ready for use with your email account. How to do it in Outlook? Similar explanation – log in to your outlook account, click on ”settings” and then section ”Compose and reply”. Find email signature section, paste your signature in the blank space provided. Name your signature (e.g. Email Signature), select it ”For New Messages” and ”For Replies/Forwards” and click on ”Save.” Your new email signature is now uploaded to your outlook account. You can test sending email message and your email signature is automatically added both when you are sending an email or replying to one. Works in Gmail and Outlook, enjoy!
